By completing the booking form and submitting your payment, you agree to the following terms and conditions in full.
1. Definitions
- The term ‘Trader’ refers to any person, business or company applying for and granted a stall at one of our events.
- The term ‘Event’ refers to any market, fair or exhibition run by The Sustainable Company (Yorkshire) Ltd.
- The term ‘Organiser’ refers to The Sustainable Company (Yorkshire) Ltd.
2. Booking & Payment
- Your booking is confirmed once we have received both your completed form and full payment.
- Receipts are issued via email and are also stored in your trader area of our website.
- Invoices must be paid within the specified timeframe. Failure to do so may result in your stall being reallocated without a refund.
- If you have not received paperwork or booking confirmation, it is your responsibility to follow up. Non-receipt does not qualify as a cancellation.
3. Cancellations
- If you cancel your stall, we will always try to re-sell it. If successful, a refund will be issued minus a £20 admin fee.
- If we cannot re-sell your stall, no refund will be given.
- Cancellations within one month of the event may not be eligible for transfer or refund.
- Non-payment of a confirmed booking may result in your invoice being passed to a third-party debt recovery service.
4. Behaviour & Conduct
- All traders are expected to be polite, respectful and cooperative.
- Rudeness to staff, ignoring instructions, or arriving outside designated times may result in refusal of entry or exclusion from future events.
- Aggressive, obstructive or unprofessional behaviour may result in a permanent trading ban.
5. Set-Up, Safety & Electricals
- You must arrive no more than one hour before the event opens unless told otherwise.
- Boxes, rails and bags must be stored safely to prevent trip hazards. Any injury caused by unsafe set-up will be your responsibility.
- All electrical items must be PAT tested and in safe working order.
- Any items deemed unsafe by the venue or organiser may be removed from your stall.
6. Clean-Up
- Please remove all rubbish and belongings after the event.
- Any stall left in poor condition may result in a £50 charge or refusal of future bookings.
7. Changes or Cancellations by the Organiser
- If the event date or time is changed, you will be offered a transfer to a new or alternative event.
- If the event is cancelled due to circumstances outside our control, including extreme weather, pandemics or venue closure, refunds may not be issued but we will aim to transfer your booking.
8. Photography & Promotion
- By attending our events, you agree that we may photograph your stall and use these images for promotional purposes.
9. No-Show Policy
- If you fail to attend without notifying us, you may not be invited to trade with us again.
10. Sustainability Promise
- We are a sustainability-focused company and expect all traders to minimise plastic use and take all waste home with them.
11. Trader Categories & Suitability
- We curate our events. If your product is deemed unsuitable or your booking form misrepresents your offering, your place may be cancelled without a refund.
A note from us: We are a small team working hard to run high-quality events. Please treat us, our venues and your fellow traders with respect so we can continue creating successful markets. We reserve the right to remove your stall from our bookings if it is not suitable for our events or if your conduct falls below our expected standards.
